Property Archiving for Office Admins

We’re introducing a new Property Archiving feature, designed exclusively for Office Admins to better manage property listings while maintaining system integrity and audit history.


Overview

The Property Archiving feature allows Office Admins to safely remove properties (lots) from active operations without permanently deleting them. Archived properties are hidden from all live environments but remain accessible for administrative purposes.


Who Can Use This Feature?

This feature is restricted to Office Admins only.

  • Office Admins can: Archive properties and unarchive properties as required.
  • All Other Users: Will not have access to these actions and will see disabled controls with guidance to contact an Office Admin.

Key Features

  • Archive Properties: Office Admins can archive properties that are no longer required within active workflows.
  • Archived Property Behaviour: When a property is archived, its status is changed to Archived, its published status is automatically set to Draft, and it is removed from upcoming and past auction listings, multi-lot auction workflows, widget and public listing pages, reports, and APIs.
  • Restricted Actions: Archived properties no longer provide View or Edit actions while archived.
  • Unarchive Properties: Office Admins can restore archived properties at any time.
  • Restoration Process: Once unarchived, a property returns to Active status, becomes visible again within listings, reporting and APIs, and can once again be assigned and used within auction events.

UI Update: Tab-Based Listing Management

To improve visibility and control, the All Upcoming section now features a redesigned tab structure.

  • Assigned Tab: Displays all active properties currently assigned to auctions.
  • Unassigned Tab: Shows properties that are not currently assigned to an auction and remain available for use.
  • Archived Tab: Contains all archived properties and allows Office Admins to quickly restore properties through the unarchive function.

This updated layout provides clearer visibility of property status and simplifies navigation across property management workflows.


Archiving Eligibility Rules

A property can only be archived if one of the following conditions applies:

  • The property is a test property.
  • The property has never been assigned to an auction.
  • The property has no bids recorded.
  • The property has no bidder registrations.

If any of these requirements are not met, the archive action will be unavailable.

  • Better Organisation: Better organise listings with clear categorisation and visibility.
  • Reduced Clutter: Remove inactive properties from active operational workflows.
  • Improved Auction Integrity: Prevent inactive properties from unintentionally impacting auction activity.
  • Reliable Reporting: Maintain cleaner and more reliable reporting data across the platform.

What’s Not Included

  • Permanent deletion of properties.
  • Archiving bidder registrations.
  • Archiving bidding history.
